Microsoft 365 has become an essential part of the modern workplace. But many companies still assume that switching to the cloud means no backup is needed. Applications are always available and accessible from any location, right? Nothing could be further from the truth.
A reliable backup plan is a fundamental part of your IT policy. In the cloud, to a local server, or off-site? Everything is possible.
Moving to the cloud does not mean your data is automatically stored and preserved.
What does Microsoft do?
Your data is stored by Microsoft with geographical redundancy. This means the data is always available in a second data centre so you can continue working during an incident. But this is not the same as a backup. You are not protected against data loss due to ransomware In 2019, no less than 49% of ransomware attacks occurred via Microsoft 365. This is 17% more than in 2018. Not only can the loss of data itself cause serious damage, but the time lost during recovery attempts is equally harmful.

No less than 1 in 3 companies reports having lost data that was stored in a cloud application. Although Microsoft 365 does offer some recovery options, these tools present two major problems: lost data and lost time.
Microsoft retains backups of your MS365 data for a very limited period. If you accidentally delete an email or file, it is not immediately gone. Emails can remain in the recycle bin indefinitely, while deleted SharePoint files stay available for 93 days. If you empty your Outlook recycle bin, items are moved to a second recycle bin where they stay for only 30 more days. Good to know.
You can submit a request to Microsoft to restore a file or email, but this is a slow and cumbersome procedure. And when you are searching for deleted data, time is usually a critical factor. Using a third-party backup solution is therefore strongly recommended.
