Why do I need an extra backup for my Microsoft 365 environment?

Do you use Microsoft 365 and only rely on Microsoft’s standard backup solution? Then you should know that this is not enough.

By default, your data is stored with a retention of 30 days in Microsoft 365’s automatic backup. This is a snapshot aimed at safeguarding the continuity of the entire environment.

Although Microsoft 365 does include basic recovery options for lost data, these tools bring two major issues: lost data and lost time. An independent backup, separate from the app itself, is necessary to avoid the most common pitfalls of data loss.

Data loss due to inactive licenses: It makes sense that an active Microsoft 365 license is required to access data. Unfortunately, data from inactive users or users whose access has been revoked is permanently deleted, with no way to restore it.
Data loss due to permanent deletion: When a SharePoint Online administrator deletes a site collection, all data goes to the recycle bin and is kept there for 93 days. After that, it is permanently deleted automatically, and there is no way to undo it.
Data loss due to ransomware: Microsoft recommends third-party backup as the only way to recover data lost to ransomware encryption.
Data loss due to app outages: Uptime guarantees help you sleep at night... until a platform outage occurs. Being prepared for the unexpected is essential for quick recovery in case of an outage.
Lost time when restoring files: Contacting Microsoft Support for help with data loss can be very time-consuming, and in the end, files may still not be restored. The backup is made at the database level. This often makes it time-consuming and/or impossible to restore a single specific file – which is exactly the most common request from an end user.
